Setting up an User Access Review

Overview

  1. Setting up an User Access Review is by default performed by the App Owner by using the App Owner Portal.
  2. The link to the App Owner Portal is delivered in the automated invitation email when creating the User Access Review.
  3. The set up can also be done using the Admin console which is only available for Squarum Admins.

Getting Started

  1. Navigate to the App Owner Portal and log in.
  2. Select the User Access Review waiting for your action.
  3. Click the Setup review button. The User Access Review status is automatically changed to ‘Setup’.

STEP 1: Add users and reviewers

1.1 Choose user list

You may choose either 1) users currently assigned to the app in Squarum or 2) copy/paste a new list of users.

1.2 Copy/paste new user list

Start by copy/pasting your user list from your spreadsheet to Squarum. The order of the columns is not fixed. You will match the columns to the fields in the next step.

You may copy/paste following information

  • user email address (*)
  • first name
  • last name
  • user role
  • reviewer email address

1.3 Match fields

After you have copy/pasted the user list, you have to match the fields to corresponding columns. Only the email address is compulsory.

1.5 Confirm and add users

After you have copy/pasted the user list and matched the columns to corresponding fields, you are ready to import the users. Click ‘Add Users’ button.

STEP 2: Check and configure the email to Reviewers

When activating the User Access Review, an email is sent to all reviewers with a link to the Reviewer Portal. The reviewer portal is used to approve/revoke user access.

In this step, you can modify the email to be sent to the reviewers. You can send a test email to yourself in this step. The email always contains a link to the Reviewer Portal. This cannot be modified.

STEP 3: Confirm and activate the review

Check that the User Access Review is ready to be activated. Click the ‘Activate’ button to start the review.

What happens after the User Access Review has been activated?

  1. An email with a link to the activated User Access Review is sent to all Reviewers.
  2. The App Owner can monitor the progress of the User Access Reviews via the App Owner Portal.
  3. The Admin can monitor the progress of the User Access Review via the Admin console.
